In the rapidly evolving MedTech landscape, companies like Fresenius Medical Care are under growing pressure to deliver compliant, and impactful marketing content at scale. Providing products and services along its entire patient value-based care strategy and caring for around 299,000 patients across its roughly 3,700 clinics in 40 countries, Fresenius Medical Care has significant content volume growth, however its disconnected systems were slowing execution and limited impact. Derrick Greene, director of marketing content and operations management at Fresenius Medical Care, shared how his team brought content to market 54% faster with enhanced compliance, leveraging a unified platform for medical, legal, and regulatory (MLR) review and approval (MLR) and digital asset management (DAM).
Fragmented systems delay execution
With a growing volume of promotional and marketing material, Fresenius Medical Care struggled to manage all of the content across its disconnected systems. Commercial teams used different platforms for MLR and DAM, leading to inefficiencies, compliance risk, and slower execution. Derrick Greene outlined the key issues they faced:
Phased rollout of Veeva PromoMats
To overcome these challenges, Fresenius Medical Care implemented Veeva PromoMats in order to have one source of truth, streamline operations, and ensure compliant content got to market faster. Fresenius Medical Care took a phased implementation approach to ensure adoption and success.
First, they set clear expectations for success, ensuring commitment across all teams, not just in terms of time and budget, but also in their willingness to embrace change. Early on, they also identified key champions within departments to promote adoption and build momentum. These champions played an essential role in encouraging change beyond the marketing team. Equally important was securing dedicated IT support to ensure that the right technical resources were in place for a smooth transition.
Next, Fresenius Medical Care worked to standardize processes and governance, beginning with identifying which materials should be stored and reviewed in PromoMats. They coordinated workflows across regions and created SOPs and work instructions in PromoMats Brand Portal, a streamlined storefront UX for managing content, to ensure team alignment. To promote continued success, they set up a center of excellence where regional leads provide ongoing support and guidance.
Lastly, Fresenius Medical Care approached the technology aspect with care, matching the DAM capabilities to the company’s needs. With over 6,000 assets to manage, they started by identifying which content to migrate or retire, ensuring only the most relevant materials were migrated into PromoMats. The phased rollout started with storage of those assets then moved on to review and approval of the migrated assets, followed by complete content lifecycle management with DAM ensuring a smooth transition.
Delivering compliant content faster and more efficiently
“By implementing Veeva PromoMats, Fresenius Medical Care Fresenius Medical Care achieved a 54% improvement in time to market, reducing approval timelines by an average of 14 days and enabling teams to deliver content faster. “Veeva PromoMats has had a tremendous impact on how we move content to market quickly,” Greene emphasized.”
Now, Fresenius Medical Care has a single source of truth for all approved commercial content, improving visibility, access, and global reuse. Global SOPs and work instructions helped to establish standardized workflows, giving teams the clarity they needed to execute efficiently and consistently. With centralized access to approved content and clearly defined processes, teams can move faster, repurpose assets, and avoid unnecessary rework, leading to greater effectiveness, stronger cross-functional collaboration, and measurable cost savings.
“Veeva PromoMats enabled us to have a centralized repository, optimize processes, increase efficiencies globally, and improve effectiveness between our marketing and product management teams,” Derrick Greene said”
Fresenius Medical Care’s approach to implementing Veeva PromoMats offers a practical model for medtech companies looking to streamline commercial content operations and manage promotional materials more effectively.
