This fragmentation created immediate business challenges, requiring multiple logins and manual data entries, resulting in highly redundant tasks that consumed valuable staff capacity. In addition, the siloed quality data led to critical visibility gaps, making it difficult to maintain end-to-end traceability and nearly impossible to compile comprehensive quality metrics reports without a significant, manual, quarterly effort. Ultimately GRAIL determined that the existing system lacked the flexibility and scalability it needed to keep pace with their continuous expansion and innovation needs.

To move beyond the limiting matrixed environment, GRAIL partnered with Veeva to implement a unified solution. The strategy was to integrate the most critical quality processes into a single, user-friendly digital platform with Veeva QMS, Veeva QualityDocs, and Veeva Training.
This allowed GRAIL to establish a single source of truth for the quality organization. The connected nature of their quality ecosystem ensures seamless traceability and automation: documents are automatically linked to required training curricula, and quality events (now managed within the platform, including Veeva CAPA/nonconformance) maintain full linkage back to training and content.

GRAIL’s phased implementation of Veeva Quality Cloud solutions fundamentally changed how the company manages compliance, delivering improvements in efficiency, visibility, and user engagement.
The shift away from the manual, redundant tasks inherent in the legacy matrixed environment freed up significant team capacity. This capacity is now directed toward higher-value initiatives rather than routine data compilation and tracking.
GRAIL eliminated at least three legacy systems and achieved 50% reduction in manual quality process time. The quality team can now leverage real-time metrics and dashboard capabilities to track system adoption and progress.
With a unified interface, users found it easier to navigate the system and complete tasks, eliminating the friction previously caused by siloed, fragmented systems and contributing to improved adoption and metrics overall.
Farmer shares, “We are seeing training being completed in most cases before the 30 day deadline given. This is due to metrics that managers can see around how their teams are performing, which drives quicker completion by trainees.
